Pole Athletica takes all reasonable care in the conduct of its classes. By entering our dance studio you agree that Pole Athletica is in no way responsible for injury or loss caused during classes or whilst participants are at or near the studio.
You are responsible for ensuring that you are physically and medically fit for the class/course that you are enrolling or enrolled in. During the class you must take care of your own personal safety at all times and inform the instructor of any physical limitations you may have. It is not advisable for pregnant women to participate in a pole dancing program. Should you have a pre-existing medical condition or in doubt as to your suitability for this program, we recommend you consult your physician for medical clearance.
You must monitor the safekeeping of personal belongings while attending class, as Pole Athletica does not take responsibility for lost or stolen property.
You understand that classes at Pole Athletica may be physically strenuous and you voluntarily participate in them with full knowledge that there is risk of personal injury, property loss or death.
You agree that you will not sue or make any other claims of any kind whatsoever against Pole Athletica or its members for any personal injury, property damage/loss, or wrongful death, whether caused by negligence or otherwise.
You agree to not drink alcohol or take drugs prohibited by law before or during any pole dancing lessons and activities conducted or organised by Pole Athletica.
Waitlist Policy
Should a spot become available, the first in line will automatically be added to the class.
1. The first in line will automatically be added to the class; and
2. Students will receive a text message once they've been added.
It is each student's responsibility to ensure they have "opted in" to receive SMS notifications from Mindbody Online. Students must respond to the SMS immediately with a 'Y' or 'N.'
Your class will be forfeited if:
- You're no longer able to attend and you do not respond to the SMS.
- You No-Show. You will also receive a strike as per the No-Show policy.
- You cancel within the 8-hour cancellation window. This is considered a late cancellation.
Please be mindful of this when wait-listing for early morning classes as it is possible you will be automatically enrolled into a class in the early hours of the morning! If you haven't come off the waitlist the night before and can no longer attend, we recommend removing yourself from the waitlist altogether.
Please treat the waitlist like you are booking a class. To avoid being charged for a class that you can no longer attend, please cancel your reservation ASAP via the PA app, online, or give us a call (outside the 8-hour window).
Unable to make a class?
We know "life" can get busy! If you are unable to make your class, please cancel your reservation at least 8 hours or more prior to your class start time. This "class" will be returned to your account and can be used to make another reservation within the same term.
Late Cancellation Policy for Members on an active Class Pack
Any cancellation made within 8 hours of a class start time is considered a Late Cancellation.
Members who "Late Cancel" 3 times within a term will be given the option to release their remaining reservations and book their classes “on the go” for the remainder of the term.
When a fourth "Late Cancelation" occurs within a term, members will have their booking privileges suspended for 2-weeks. Any reserved classes inside those 2 weeks will also be canceled.
To attend classes during the 2-week suspension, members will need to call the studio on the day of the class to check availability.
No-Show Policy for Members on an active Class Pack
Students unable to attend any of their scheduled classes are required to cancel their reservation, whether it falls inside or outside the 8-hour cancellation window.
Students who fail to attend and cancel their reservation will be considered a No-Show and will be charged for the class.
Every No Show incurs a strike. Members who No-Show three times within a term will have their booking privileges suspended for 2-weeks. Any reserved classes inside those 2 weeks will also be cancelled.
To attend classes during the 2-week suspension, members will need to call the studio on the day of the class to check availability.
Self-Led Practice Policy
Self-Led Practice is available to all members on an active 10, 20, or 30 Class Pack. The following policies are in place to ensure self-led practice is enjoyed respectfully by all members.
Whilst self-led practice is free for members with valid class packs, valid credit card details are required on your Mindbody profile. This can be done through the Pole Athletica app, online or in person at reception.
Your credit card will be charged ONLY as per the policy below.
Self-Led Practice No-Show Policy
Students unable to attend any booked class or Self-Led Practice session are required to cancel their booking, whether it falls inside or outside the 8-hour cancelation window.
Students who fail to cancel their Self-Led Practice reservation will be considered a "No-Show".
No-Show Fee Outline
1st No Show: Session forfeited. No fee incurred.
2nd and any following No-Shows: Session forfeited and a $10 No-Show fee will be incurred for every No-Show.

Any cancelation made within 8 hours of a class or Self-Led Practice session start time is considered a "Late Cancelation".

3rd and any following Late Cancelation: Session forfeited and a $10 Late Cancelation fee will be incurred for every late cancelation.
Refund/Cancellation Policy
Class Packs are valid ONLY for the term for which they were purchased. Please note the ‘Valid Until’ date on your receipt. Any classes not used by the valid date cannot be deferred to the next term and will expire.
We do not provide refunds if you change your mind or are unable to attend any of your classes due to changes in personal circumstances, work commitments or other reasons beyond our control.
Deferral Requests
In extenuating circumstances, a deferral may be considered provided 7 days' notice has been received prior to the commencement of the term start date.
Should a deferral be granted, an $80 admin fee will be deducted from the cost of your original Class Pack. Any remaining balance will be reissued as a "credit" back to your Mindbody account. This credit will need to be redeemed before it's expiry date.
Minimum numbers for courses and classes
Teachers and classes may be subject to change without notice. We require a minimum number of students for classes to proceed. If minimum numbers have not been reached, class dates & times are subject to change. We shall communicate any changes to students who have booked into classes where a schedule change/cancelation has occurred and alternative options will be offered.
Private Lessons
Any private lessons booked incur a cancelation fee of $50 if the private lesson is canceled less than 48 hours before the booked date and time. It’s important to understand that when you book a private lesson, you have potentially taken the place of another student and the instructor has been specifically called in to teach you. If a deposit has been paid and the booking is canceled the deposit is non-refundable, however we can issue a credit note valid for one month from the original date of purchase.
Pole Parties
Deposit: A non-refundable deposit is required to secure the event.
Final Payment: is due 48 HOURS prior to your event date.
Bookings made inside the 1 week payment period must be made in full to confirm the event.
Cancelation/Refund Policy
We are not required to provide a refund if you change your mind or are unable to attend your event due to changes in personal circumstances, work commitments or other reasons beyond our control.
For cancelations OUTSIDE 7 DAYS no refund will be given however, you can reschedule your event or we can issue a credit voucher valid for 3 months.
For cancelations INSIDE 7 DAYS or NO SHOW on the night, NO REFUND or credit voucher will be given.
Gift Vouchers
- Gift vouchers are not redeemable for cash.
- Class/Course must be undertaken on or before expiry date presented on the voucher.
- Gift vouchers are valid for 6 months from date of purchase.The expiry date is final cannot be extended.
- It is the recipients responsibility to check the Pole Athletica timetable and book in accordingly.
- It is the purchaser's responsibility to advise the recipient of term's and conditions applicable to a Pole Athletica Gift Voucher.
Privacy
Pole Athletica® believes that the privacy of all personal information is very important. All information collected will be used solely by Pole Athletica® to conduct our business. Your information will not be disclosed to any third parties, other than for the purpose of processing payments. We will only ask for and use relevant personal information as necessary.
Pole Athletica® seeks to comply with Australia’s privacy laws. We aim to ensure that our privacy policy continually meets all legal requirements in order to maintain and honour your privacy.
